What is SharePoint?

SharePoint is cloud file storage for departments and groups. If you are familiar with OneDrive, then you will find that SharePoint is quite similar. In fact, it is the same technology. OneDrive is cloud file storage for your personal files, while SharePoint is cloud file storage for your department or office.

Why Now?

All SEBTS department files are in the process of being migrated to SharePoint. SEBTS File Storage resources are quickly filling up, SharePoint allows us to free up these resources at no additional cost. In fact, SharePoint storage comes FREE with SEBTS Educational licenses. In addition, this migration allows for more seamless file access for SEBTS employees while working off-campus.

Why Should You Care?

  • SharePoint allows you to access your files anywhere in the world, as long as you have internet connection and a browser.
  • Using SharePoint means you can have real-time collaboration with your colleagues on the same document.
  • SharePoint integrates seamlessly with Teams. In fact, you can open up your department files directly inside of Teams without leaving the app.
  • SharePoint backs up your department files. You can recover deleted files for 93 days. Additionally, you can view and recover all previous versions of your files.

How do I access my departmental files?

The best way to access your departmental files is through the Teams. Use the following steps.

  1. Open Teams in the browser or desktop app.
  2. Click Teams Icon
  3. Select the channel for your department and click on the ‘General’ channel
  4. Click the ‘Files’ tab

From here, you will see the files that are saved in the General folder of your Team share. You can create and view files right from Teams. Click on the document to view it and select the three dots to see options for opening online in a browser, with your desktop app, or to download it to your computer.

NOTE: Most departmental shares have been migrated to the General channel. However, each channel has its own files tab, which creates a new folder inside the top-level SharePoint site. To view files in another channel, simply click on that channel and go to the files tab or click ‘Open in SharePoint’ and navigate to ‘Documents’.

How do I sync my departmental files to my computer?

NOTE: If you are a citrix user, you will need to be updated to the Win FX Desktop in order to use this feature. We are in the process of migrating users now. If you need to be migrated, please put in a help ticket at help.sebts.edu.

You can sync your departmental files to your computer, which will have them show in your Windows Explorer or Mac Finder.

To sync only the General folder, do the following:

  1. Navigate to the ‘General’ channel of you team
  2. Click the ‘Files’ tab

  1. Navigate to the ‘General’ channel of you team
  2. Click the ‘Files’ tab
  3. Click ‘Open in SharePoint’
  4. Click ‘Documents’
  5. Click the ‘Sync’

If you do not already have the OneDrive app installed on your computer, it will prompt you to install it at that time.
