Purpose: This article will inform students how to manage student records releases (FERPA releases) using Self-Service. The Family Educational Rights and Privacy Act (FERPA) is a federal regulation that controls release of student records to any third-party, including but not limited to spouse, parents, or guardians. For this reason and to protect student privacy, we are unable to release student record information unless the student provides written authorization. Southeastern has transitioned away from using paper forms for student records releases to using electronic forms via Self-Service.
Here are the steps for managing your FERPA information from your Self-Service profile:
1. Log into Self Service and click Term Check-In. Click FERPA Releases.
2. Read the blue alert that describes FERPA regulations and Southeastern’s policies. Please note the warnings about PINs and start and end dates. These pieces of information are not required, but if provided will be enforced by our offices.
3. If you do not want anyone to have access to your record information, you may check the box that says, “Do not disclose my student record information at this time.”
4. If you want to release all or some of your record information to anyone other than yourself, click on the button that says Add Person/Relationship. To add a person/relationship, fill out the fields.
Please note, a PIN is not required, but the PIN must be provided by the 3rd party if they request access to your information. Please note, start and end dates are not required, but if you enter date information, it will be enforced.
5. Once you have filled out the fields regarding who we can release record information to, then select what information may be released. You can allow complete access to all record information, or you can limit the FERPA release to any item you select in the list (e.g., Academic Records).
6. Once you have finished providing details about the person and what can be released, click Submit. A green checkmark will appear at the top right of your screen.
7. If you wish to add another FERPA Release, simply repeat the steps above for each person.
